Please read this document together with the other policies in the Legal Centre. If you use DeelosERP for a business, make sure your authorised Users understand the parts that apply to their work.
1. Scope and who we are
This Privacy Policy explains how JODSUNS TECHNOLOGY, the operator of DeelosERP, handles personal information when you visit our public website, create or use an Account, contact us, or use the Platform. In this Policy, "Deelos", "we", "us" and "our" mean JODSUNS TECHNOLOGY operating DeelosERP.
For business Customer Data entered into a DeelosERP workspace, the business that controls the workspace generally decides why the information is collected and how it is used. Deelos generally processes that information on the business's instructions to provide the Platform. For Account, billing, support and website information, Deelos may act as the organisation responsible for deciding how the information is used.
2. Information we collect
- Account and business information, such as names, email addresses, phone numbers, business details, branch information, user roles and login records.
- Customer Data entered by a business, such as customer names, phone numbers, addresses, orders, balances, receipts, notes, products, stock, payments and employee or supplier records.
- Subscription and payment information, such as plan, transaction reference, payment status, billing contact and limited information supplied by a payment provider. Payment card or mobile-money credentials are handled by the applicable payment provider where possible.
- Support and communications, including enquiries, feedback, attachments and information needed to resolve a request.
- Technical information, such as IP address, device and browser information, approximate location, log events, security events, language, pages visited and service performance information.
- Local technologies, such as cookies, session storage or local storage used for authentication, preferences, offline queues and security.
3. How we use information
We use information to create and secure Accounts, provide POS and ERP features, process orders and subscriptions, support offline synchronisation, send service messages, answer enquiries, provide support, prevent fraud and abuse, maintain backups and logs, improve the Platform, comply with law, and protect the rights and safety of users and Deelos.
Where applicable, our legal basis may include performing a contract, taking steps at your request before a contract, complying with a legal obligation, obtaining consent, or pursuing a legitimate interest that does not override your rights. Where we rely on consent, you may withdraw it as permitted by law.
4. Customer Data and business instructions
A business must provide appropriate notice and obtain any consent or other authority required before entering another person's information into DeelosERP. The business is responsible for its customer notices, marketing messages, employee records, debt records, exports and retention instructions.
If you are an individual whose information was entered by a DeelosERP customer, contact that business first for questions about its use of your information. We may assist the business with a request or respond directly where required by applicable law.
5. When we share information
We may share information with service providers that help us host, secure, support, communicate with, analyse or operate the Platform, including payment, SMS, email, cloud, backup, monitoring and technical providers. These providers may process information only for authorised purposes and under appropriate confidentiality and security obligations.
We may also disclose information when required by law, court order or lawful government request; to investigate fraud, security or abuse; to enforce our agreements; or to protect users, the public, Deelos or another person's rights. We do not sell personal information as a business model.
6. International processing
Some providers may process information in countries other than the country where it was collected. Where this occurs, we take reasonable steps to use reputable providers, contractual protections and other safeguards appropriate to the information and applicable law. Availability of a particular provider or processing location may change as the Platform evolves.
7. Retention and deletion
We retain information for as long as reasonably necessary for the purposes described in this Policy, to provide the Platform, maintain business and security records, resolve disputes, enforce agreements and meet legal obligations. Retention periods depend on the type of information and the relationship with the business or Account holder.
A business may request export or deletion of Customer Data subject to the Subscription, technical limits, legal obligations, backups and legitimate security needs. Deleting an Account or asking us to delete information may not remove records that we must retain by law or that are needed to prevent fraud or resolve a dispute.
8. Security
We use reasonable administrative, technical and physical safeguards designed to protect information from unauthorised access, loss, misuse, alteration and disclosure. Safeguards may include role-based access, authentication controls, logging, backups, monitoring and secure transmission where supported. No internet service or storage system can be guaranteed completely secure.
You are responsible for account security, permission settings, device security, lawful data collection and checking that offline data has synchronised correctly. Report suspected security issues through the Contact page as soon as possible.
9. Your rights and choices
Subject to applicable law, you may have rights to request access to, correction of, deletion of or information about personal data, to object to or restrict certain processing, or to withdraw consent. You may also have a right to complain to the relevant data-protection regulator. We may need to verify identity and may direct a request to the business that controls the relevant Customer Data.
To make a privacy request, contact the relevant DeelosERP business or contact us through the public Contact page or sales@deeloserp.com. We will handle requests within the time and limits required by applicable law.
10. Cookies and local storage
We use essential cookies and browser storage to keep sessions working, remember preferences, support security and enable features such as offline queues. Optional analytics or third-party technologies will be used only as described in the Cookie Policy and may be controlled through available browser or site settings.
11. Children and changes
The Platform is intended for businesses and their authorised Users, not for children to use independently. We do not knowingly request information from children in circumstances where consent is required. We may update this Policy when our practices, Platform or legal obligations change; the current version and effective date will be posted on this page.
